This article explains how to manage a Tenderbox in Delta eSourcing – editing its details, controlling when it is visible to suppliers, linking it to a notice or questionnaire, and sharing it with bidders. A Tenderbox is the secure area where suppliers submit their responses to your tender.
Editing Your Tenderbox Details
- You can edit a Tenderbox’s title, description and deadline while it is in Preliminary (draft) status.
- Open the tender exercise, select the Tenderbox, and choose Edit to update its details.
- Some details cannot be changed once the Tenderbox is live and suppliers have been invited – set these carefully before publishing.
- To use a Tenderbox for a different purpose, create a new Tenderbox within the tender exercise rather than repurposing a live one.
Tenderbox Status and Supplier Visibility
- A Tenderbox in Preliminary status is a draft and is not yet visible to bidders.
- Suppliers can only access the Tenderbox once it is open and they have been invited.
- Check the status shown against your Tenderbox before the deadline to confirm it is live. See the Understanding Tender Statuses article.
Linking a Tenderbox to a Notice or SQ
- A Tenderbox can be linked to a published notice (for example a UK4 Tender notice) and to a Selection Questionnaire (SQ) as part of a tender exercise.
- If a notice reports that it is “not linked”, open the tender exercise and confirm the Tenderbox and notice are linked before publishing.
- Within a single tender exercise you can set up more than one Tenderbox – for example an additional stage or an interim tender.
Inviting Suppliers and Sharing the Tenderbox
- Invite suppliers from the tender exercise; invited suppliers are notified by email once the Tenderbox is open.
- To share a direct link, access the Add Suppliers section and use the advertise button to pull the respond link. See the How to Invite Suppliers to a Tender article.
- Suppliers who have not been invited will not receive notifications or be able to respond.
Troubleshooting
- If you cannot edit a field, check the Tenderbox status – live Tenderboxes limit what can be changed.
- If a linked notice will not publish, confirm the Tenderbox and notice are correctly linked.
- If suppliers report they cannot see the Tenderbox, confirm it is open and that they have been invited.
