This article explains how to use the Report Manager in Delta eSourcing. The Report Manager provides management information (MI) reports on your procurement activities, including tender exercises, supplier responses, notices, contract records, and more. Reports can be filtered by date range and exported to Excel, PDF, or CSV.
Before You Begin
Make sure you have:
- Access to the Report Manager module on your portal
Accessing the Report Manager
- From the main menu, click Report Manager on the left-hand bar.
- You will see the following report options in the navigation:
- Organisation Reports – the main reporting area with multiple report types
- Activity Log Reports – view organisation or personal activity logs
- Contracts List Report – a summary of your Contract Lists and their awards
- MI Report – generate a Management Information report in Excel format
- Statistical Return Report – create and submit annual statistical returns
- Notice Report - Lists all published notices with the tender exercise name, notice title, notice type, contract type, procedure type, regime, and the created and published dates.
Organisation Reports
The Organisation Reports page is the main reporting area. You can select from a range of report types and filter the results by date range.
Running a Report
- Go to Report Manager and select Organisation Reports.
- Select the report type you wish to run using the radio buttons.
- Choose how to filter by date: Created Date, Opening Date, or Closing Date.
- Enter a start date and end date to narrow the results, or leave blank to show all.
- Click Search to generate the report.
- The results will display in a table. You can page through the results or tick Display all results to show everything on one page.
Exporting a Report
Once a report has been generated, you can export the results using the export links provided above or below the results table. Available export formats include Excel, PDF, CSV, and XML.
Available Report Types
Asset Count Report
Provides a per-user summary of procurement assets across your organisation. Shows the number of tender exercises, tenderboxes, SQs, select lists, notices, contract lists, and quick calls created by each user.
Tenderbox Report
Lists all tenderboxes with details including the name, owner, list type, reference number, opening and closing dates, status, and supplier response counts (invited, responding, responded, and withdrawn).
SQ Report
Similar to the Tenderbox Report but filtered to show only Selection Questionnaire (SQ) exercises. Displays the same fields: name, owner, dates, status, and supplier counts.
Notice Report
Lists all published notices with the tender exercise name, notice title, notice type, contract type, procedure type, regime, and the created and published dates.
Busy Days Report
Shows aggregated closing-date activity across the system. Displays how many lists close on each date, along with totals for invited, responding, and responded suppliers. This report is useful for identifying peak activity periods.
Quick Call Report
Displays Quick Call exercises with the title, owner, opening and closing dates, status, response counts, and the awarded value. You can click on a Quick Call to view the responding suppliers’ details including company name, email, location, and award status. This report can be exported to Excel, PDF, or CSV.
Contract Register Report
Shows contract records from the Contract Manager module, including the title, status, contract manager, start and end dates, retender date, total contract value, annual value, procedure type, and any custom fields defined by your organisation.
List Report
A flexible report that lets you choose which list types to include. You can select from Select Lists, Contract Lists, and Quick Call Lists using the checkboxes provided. Displays the list name, owner, opening and closing dates, status, and supplier counts.
Collaborations Report
Shows workspace and collaboration groups with the group name, user count, pending user count, and asset count. This report is available at the organisation level.
Activity Log Reports
Activity Log Reports allow you to review user activity within the system. Two views are available:
- Organisation Activity – shows activity across all users in your organisation
- My Activity – shows only your personal activity
These logs are useful for audit purposes and for tracking what actions have been taken within your portal.
Contracts List Report
This standalone report shows all Contract Lists within your organisation. For each list, it displays:
- The list name
- Created date
- Workspace or group name
- Owner
- Number of Quick Calls created from the list
- Number of awards made
- Total awards value
You can filter the results by workspace using the dropdown at the top of the page.
MI Report
The MI (Management Information) Report generates a comprehensive report in Microsoft Excel format based on your selected criteria. This is useful for producing detailed procurement data extracts for internal reporting or external submissions.
Statistical Return Report
The Statistical Return Report allows you to create, edit, duplicate, and submit annual statistical returns. This section provides a dedicated workflow with guidance notes to help you complete your return accurately.
Things to Note
- The Report Manager is only available to users with the Buyer Administrator role.
- Reports can be filtered by created date, opening date, or closing date.
- You can export most reports to Excel, PDF, CSV, or XML using the links on the results page.
- The Quick Call Report includes a detailed supplier view with export options.
- The Contract Register Report will include any custom fields your organisation has configured.
- For large result sets, use the date range filters to narrow down the data before exporting.
