This article explains how to extend the closing date for a tender exercise. You may need to extend a deadline if clarification questions require additional time, if the tender documents have been amended, or if suppliers have requested more time to respond.
Before You Begin
Make sure you have:
- An active, published tender exercise
Step 1 – Navigate to the Tender
- From the main menu, go to Tender Exercises.
- Open the tender exercise you wish to extend.
Step 2 – Update the Closing Date
- Go to the SQ or Tenderbox you wish to extend.
- Click Edit Details to modify the closing date and time, or click on the opening or closing date.
- Enter the new closing date using the date picker.
- Set the new closing time using the hour and minute fields.
- Click Save to apply the change.
Step 3 – Notify Suppliers
- After extending the deadline, notify all invited suppliers using the Message Centre.
- Clearly state the new closing date and time in your message.
- If a notice is linked to the tender, you may also need to update the notice with the revised deadline.
Things to Note
- The new closing date must be later than the current closing date.
- Some tender types may have minimum timeframe requirements (e.g. 25 days for e-submissions, 30 days for non-electronic submissions on open frameworks).
- Always communicate deadline changes to suppliers promptly.
- The deadline change will be recorded in the activity log.
