This article explains how to complete and publish your Supplier Profile in Delta eSourcing. Your Supplier Profile is your organisation’s public-facing record that buyers use to find and assess potential suppliers. A complete, published profile ensures your organisation is visible to public sector buyers searching for suppliers in your area of expertise.
Before You Begin
Make sure you have:
- A registered supplier account on a Delta eSourcing portal
- The role of Supplier Administrator, Supplier Supervisor, or Supplier Registered User
- Your organisation’s details to hand (company information, contact details, business activities, classifications, etc.)
Understanding Profile Status
Your Supplier Profile has one of two statuses:
- Registered – The default status. Buyers can only see your Company Details section.
- Certified – Your profile has been published. Buyers can see your full profile and find you in supplier searches.
To move from Registered to Certified, you must complete all sections of your profile and publish it.
Accessing Your Supplier Profile
- Log in to your Delta eSourcing portal.
- From the main menu, select Profile Manager.
- Your profile will open on the first section, ready for editing.
Editing Your Profile
Your Supplier Profile is divided into multiple sections. Each section covers a different aspect of your organisation, such as company details, contact information, business activities, and classifications.
Step 1 – Complete Each Section
- Fill in the fields on the current section. Fields marked with an asterisk (*) are mandatory and must be completed before you can publish.
- Use the right-hand navigation menu to move between sections, or use the Next and Previous buttons at the bottom of the page.
- Click Save to save your progress on the current section. You do not need to complete everything in one sitting.
Step 2 – Tick the Confirmation Checkbox
Each section includes a confirmation checkbox at the bottom. You must tick this checkbox to confirm that the information in that section is correct before the section will be marked as complete.
Step 3 – Add Repeating Entries
Some sections, such as Business Activities, allow you to add multiple entries. Use the Add button to create additional entries, and the Edit or Delete buttons to manage existing ones.
Completing Mandatory Fields
Important: If a field is marked as mandatory (*) but is not relevant to your organisation, you will still need to enter a value in order to proceed. For text fields, you can enter N/A to indicate the question is not applicable.
However, Post Code and Date fields require valid values and will not accept N/A:
- Post Code fields – If the country is set to United Kingdom, you must enter a valid UK postcode (e.g. EH1 1AA). The system will reject invalid formats.
- Date fields – You must enter a valid date in the format dd/mm/yyyy (e.g. 01/01/2025). Text values such as N/A will not be accepted.
Publishing Your Profile
Once all sections are complete, you can publish your profile to make it visible to buyers. Only users with the Supplier Administrator role can publish or unpublish a profile.
- Click the Publish Profile button.
- The system will validate every section of your profile.
- You will see a summary showing each section with either a green tick (complete) or a red cross (incomplete).
- If any sections show a red cross, click the section name to go back and complete the missing fields.
- Once all sections show a green tick, click Publish and then Confirm Publish.
- Your profile status will change from Registered to Certified and your full profile will be visible to buyers.
Making Changes to a Published Profile
If you need to update your profile after it has been published:
- Click the Unpublish button. Your status will revert to Registered and buyers will only see your Company Details until you republish.
- Make the required changes to your profile sections.
- Publish your profile again by following the steps above.
Things to Note
- Your Company Details section is always visible to buyers, even when your profile is unpublished.
- Your company name is pre-populated from your organisation’s registration details.
- You can save your progress at any time and return later to complete remaining sections.
- Use the Print Version button to generate a PDF copy of your profile.
- The Activity Log button shows a history of changes made to your profile.
- Keeping your profile up to date and published improves your visibility to public sector buyers.
