Managing Workspaces and Users
This article explains how to create and manage workspaces, add or remove users, and maintain organised project groups within your system.
Creating a Workspace
Step 1 – Create a New Workspace
- Click Create Workspace or Create Project
- Enter a name for the workspace
- Add a description to help users understand the purpose of the workspace
- Click Save to create the workspace
Managing Workspace Members
Step 2 – Add a User to a Workspace
- Open the workspace you wish to manage
- Click Add User or Invite User
- Search for the user by name or email address
- Select the user from the search results
- Choose the role the user should have within the workspace
- Click Save to add them
- The user will now have access to tenders and activities within this workspace
Step 3 – Remove a User from a Workspace
- From the workspace members list, find the user you wish to remove
- Click Remove next to their name
- Confirm the removal when prompted
- The user will no longer have access to this workspace's activities, but their account will remain active on the system
Editing a Workspace
- Click on an existing workspace to open it
- Update the name, description, or member list as needed
- Click Save to apply your changes
Transferring Assets Between Users
If a user is leaving your team and has active tenders or documents assigned to them, you can transfer their assets to another user. See the Asset Transfer article for more details.
Best Practices
- Use clear, descriptive names for workspaces so users can easily identify them
- Keep workspaces organised by department, project, or procurement category
- Regularly review workspace membership to ensure only the right people have access
- When a project is complete, consider archiving the workspace to keep your list tidy
