This article explains how to use the Message Centre in Delta eSourcing. The Message Centre allows buyers and suppliers to communicate securely within a specific tender exercise, keeping all correspondence in one place for audit purposes.
Before You Begin
Make sure you have:
- An active tender exercise with invited suppliers
- Access to the relevant tender exercise on your portal
For Buyers
Step 1 – Access the Message Centre
- Navigate to your tender exercise.
- Access the SQ or Tenderbox
- Select the Message Centre tab.
- You will see a list of all messages and discussions related to this tender.
Step 2 – Send a Message to Suppliers
- Select Email Suppliers tab
- Click New Direct or New Topic.
- Enter a subject and your message text.
- Attach any documents if required (3 documents max per message. 5MB max per document).
- Click Send.
- Suppliers will receive an email notification alerting them to the new message.
Step 3 – View and Reply to Supplier Messages
- To open a message, click Message History next to the message.
- Read the supplier’s message and any attachments.
- Click Reply to respond.
- Enter your reply and click Send.
For Suppliers
Step 4 – Access the Message Centre
- Navigate to the tender exercise you have been invited to.
- Select the Message Centre or Messages tab.
- You will see all messages from the buyer relating to this tender.
Step 5 – Send a Message to the Buyer
- Enter a subject and your question or message.
- Attach any documents if needed.
- Click Send.
- The buyer will be notified by email.
Things to Note
- All messages are stored against the tender exercise for a full audit trail.
- Topic messages sent to all suppliers are visible to every invited supplier. However, no supplier will be able to see another suppliers details.
- Messages sent to a specific supplier are only visible to that supplier and the buyer.
- You will receive an email notification when a new message is posted.
