How to Create a Questionnaire
This article explains how to create a questionnaire (also known as a PQQ or ITT) for suppliers to complete as part of a tender exercise. It covers setting up the questionnaire structure, adding questions, and configuring question types.
Before You Begin
Make sure you have:
- An active tender exercise
- The role of Buyer Administrator, Buyer Supervisor, or Buyer Registered User
- A clear understanding of the questions you want to ask suppliers
Setting Up the Questionnaire
Step 1 – Navigate to Your Tender
- From the main menu, go to Tender Manager
- Access your tender exercise.
- Access the relevant SQ or Tenderbox
Step 2 – Create the Questionnaire
- Click Create Questionnaire or Edit Questionnaire.
- You will have multiple options, such as the PSQ, custom questionnaire or document upload to name a few. Please select the relevant option.
- If using a template, select the template and the relevant questions will be imported automatically.
Step 3 – Add Sections and Sub-Sections
Questionnaires are organised into sections and sub-sections to keep related questions together.
- Click Add Section to create a new section within the questionnaire.
- Within each section, click Add Sub-Section to create sections for grouping questions.
- Give each section and sub-section a clear, descriptive name so suppliers can navigate easily.
Adding Questions
Step 4 – Add a Custom Question
- Within a section, click Add Question.
- Enter the question text.
- Select the question type:
- Text – Suppliers provide a free-text response.
- Multiple Choice – Suppliers select from predefined options.
- File Upload – Suppliers upload a document as their response.
- Pricing – Suppliers enter pricing information.
- Set whether the question is mandatory.
- Add any guidance text to help suppliers understand what is required.
- Click Save.
Step 5 – Import Questions from a Template
- Click Import Question(s).
- Browse or search the available question templates.
- Select the questions you wish to import.
- The selected questions will be added to your questionnaire. You can edit them after importing.
Step 6 – Edit or Remove a Question
- Click on the pencil icon to amend an existing question.
- To remove a question, select the bin icon next to the question.
- Changes are saved when you click Save on the questionnaire.
