This article explains how to control which contract fields are visible to users in your organisation. Field visibility settings allow you to show or hide specific fields on the contract record form, so users only see the fields that are relevant to them.
Before You Begin
Make sure you have:
- The role of Buyer Administrator on your portal
Step 1 – Access Field Visibility Settings
- From the main menu, go to Contract Manager and click Contract Register.
- Select Field Visibility.
- You will see a list of all available contract fields, including both standard and custom fields.
Step 2 – Show or Hide Fields
- Each field will have a toggle or checkbox to control whether it is visible.
- Tick the checkbox to show a field on the contract record form.
- Untick the checkbox to hide a field so it does not appear to users.
- Hidden fields will not be displayed when creating or editing contract records, but any existing data in those fields is preserved.
Step 3 – Save Your Settings
- Once you have configured the visibility for all fields, click Save.
- The changes will take effect immediately for all users in your organisation.
Things to Note
- Field visibility settings apply to all users within your organisation.
- Hiding a field does not delete any data – it simply removes the field from the contract form. If you make a hidden field visible again, any previously entered data will reappear.
- Some standard fields may be required and cannot be hidden.
- Field visibility settings apply to both the contract creation and the contract editing view.
- When exporting any contract record(s), any hidden fields will not appearr within the export.
