How to Configure Custom Contract Fields
This article explains how to create and manage custom fields for your contract records. Custom fields allow your organisation to capture additional information that is specific to your contract management needs, such as budget codes, departments, or risk levels.
Before You Begin
Make sure you have:
- The role of Buyer Administrator on your portal
Step 1 – Access Custom Field Settings
- From the main menu, go to Contract Manager and click Contract Register.
- Select Custom Fields.
- You will see a list of any existing custom fields.
Step 2 – Add a New Custom Field
- Click Add Field.
- Enter a name for the field (e.g. “Budget Code”, “Department”, “Risk Level”).
- Choose the field type – options include short text, long text, yes/no, currency, address and cpv code.
- Select the tick box to make it mandatory if required.
- Click Save to create the field.
Step 3 – Edit an Existing Custom Field
- From the custom fields list, click on the field you wish to edit.
- Update the field name, type, or options as needed.
- Click Save to apply your changes.
Step 4 – Remove a Custom Field
- From the custom fields list, select the field you wish to remove.
- Click Delete or Remove.
- Confirm the deletion when prompted.
- Note: Removing a custom field will remove it from all contract records. Any data previously entered in that field will no longer be visible.
Using Custom Fields
Once configured, custom fields will appear in the Custom Fields tab of the contract record. Users can fill in these fields when creating or editing a contract record.
