Transferring Assets in Delta
This article explains how to transfer assets from one user to another within your organisation. Asset transfers are typically needed when a user is leaving, changing role, or handing over responsibility for a particular piece of work.
What Is an Asset?
In Delta, an asset is any item that belongs to a specific user account. This includes tender exercises, questionnaire responses, contract lists, and other records created within the system. Each asset has an owner, and when that ownership needs to change, an asset transfer must be carried out.
Who Can Transfer Assets?
Only users with an Administrator role can transfer assets. This applies to both buyers and suppliers:
- Buyer Administrators can transfer assets belonging to users within their buyer organisation.
- Supplier Administrators can transfer assets belonging to users within their supplier organisation.
Standard users can view their own assets list but cannot initiate a transfer.
Transferring Your Own Assets
If you are a Buyer or Supplier Administrator and need to transfer assets that belong to your own account, you can do this directly from your own Account Settings — you do not need another administrator to do it on your behalf.
Buyers:
- Click on your name or account menu and go to Account Settings, then select the Assets tab.
- A table will display all assets currently assigned to your account, including the asset type, name, and collaboration context.
- Use the checkboxes to select the assets you want to move to another user.
- Use the Select User dropdown to choose the recipient within your organisation.
- Click Transfer. A confirmation message will appear once the transfer is complete.
Suppliers:
The steps are identical for supplier administrators:
- Go to Account Settings and select the Assets tab.
- Review the list of assets assigned to your account.
- Tick the assets you wish to transfer using the checkboxes.
- Select the recipient from the Select User dropdown.
- Click Transfer to complete.
Note that standard users (non-administrators) can view their own assets list but will not see the checkboxes or transfer controls. If you need your assets moved and do not have an Administrator role, you will need to ask your organisation's administrator to carry out the transfer on your behalf.
Transferring Assets — Buyers
- Navigate to Account Settings for the user whose assets you want to transfer. You can do this by going to the relevant user's account and selecting the Assets tab.
- A table will display all assets currently assigned to that user. Each row shows the asset type, the name of the asset, and the collaboration it belongs to.
- Use the checkboxes on the left side of the table to select the assets you want to transfer. You can use the Select All option at the top of the table to select everything at once.
- Below the table, use the Select User dropdown to choose the member of your organisation you want to transfer the assets to. The list will show users within your organisation along with their role.
- Click Transfer to complete the transfer. A confirmation message will appear if the transfer was successful.
Transferring Assets — Suppliers
The steps for supplier administrators are the same as for buyers:
- Navigate to Account Settings for the user whose assets need to be transferred and select the Assets tab.
- Review the table of assets assigned to that user.
- Use the checkboxes to select the assets you wish to move.
- Use the Select User dropdown below the table to choose the recipient. Only eligible users within your organisation will appear in this list.
- Click Transfer to complete the transfer.
Things to Be Aware Of
Assets can only be transferred within your organisation. You cannot transfer assets to a user in a different organisation or a different part of the system hierarchy. If you attempt this, you will see a message saying the users are in different hierarchies.
You must select at least one asset and one target user. If either is missing, the system will prompt you to make the required selection before the transfer can proceed.
Assets cannot be transferred to an Evaluator or Auditor account. Evaluator roles are not eligible to receive transferred assets.
Assets cannot be transferred to the same user. You must select a different user as the recipient.
Common Error Messages
| Message | What It Means |

| Please select assets to transfer | No assets have been ticked. Use the checkboxes to select at least one asset. |
| Unable to transfer assets as the users are in different hierarchies | The recipient is not within the same part of the organisation structure. Choose a different user. |
| Selected assets cannot be transferred to a non-admin user | The chosen recipient does not have an Administrator role. |
| Assets cannot be transferred to the same group | You have selected the user the assets already belong to. Choose a different recipient. |
What to Do If You Cannot Complete a Transfer
If you are unable to transfer assets and the error messages above do not resolve your issue, please contact the Delta support team. Provide the name of the user whose assets need to be moved and the name of the intended recipient, and the team will be able to assist.
